01 · THE WORK

One task, clearly defined.

Procedures are spread across documents and folders. Experienced colleagues become the search engine. A knowledge assistant helps a defined group of users ask questions of selected material and check the source of an answer.

Employee asks a question

Which steps do we follow when a new colleague starts?

02 · AI

03 · Out

Answer includes source references

A summary of the onboarding procedure with links to the relevant documents. Missing or conflicting instructions are flagged for review.

Human check

Your colleague can check the source of every answer.

02 · SCOPE

Agree the boundaries before building.

Included in the agreed setup

  • An agreed collection of documents and procedures
  • Questions and answers with references to source material
  • An explicit fallback when the sources do not contain an answer
  • Access and document-update arrangements agreed before building

Outside the starting scope

  • Searching every company system or unrestricted access to confidential files
  • Permissions per document, extensive data cleanup or extra integrations in the base scope

03 · DELIVERY & COSTS

Know what you buy. Know what follows.

A short intake checks your tools, data and scope. If the process is clear, we quote directly. Uncertain processes or complex access rules may need a paid analysis first, agreed with you.

01 · SETUP

Fixed quote after intake

Configuration, agreed connections, test cases and handoff. The quote names the deliverables, timeline, review rounds and acceptance criteria.

02 · USAGE

Software and consumption

Hosting, licences and AI usage are itemised. We agree what is included, the volume limits and the cost of going beyond them before you sign.

03 · CONTINUITY

Support with clear limits

Handoff, follow-up and ongoing maintenance are scoped per solution. Your quote names included checks and changes, support time, response windows and the start of billing.

Accounts and the delivered work are handed over as agreed. Any third-party platform licences and portability limits are named in the proposal.

04 · QUESTIONS

Before you decide.

Which documents can the knowledge assistant search?

A collection you choose: the procedures, manuals and documents your team actually uses. We agree that collection before building, together with how updates are handled, and every document set needs a named content owner who keeps it current. The assistant does not search every company system. Extra integrations, extensive cleanup of old files or permissions per document fall outside the base scope and are quoted separately if you need them.

How does my team know an answer is correct?

Every answer refers to the passages it is based on, so your colleague can open the source and check. When the selected documents do not contain an answer, the assistant says so instead of filling the gap, and missing or conflicting instructions are flagged for review. Before use, we test it with real questions from your team and the sources we expect it to find.

Who gets access, and what about confidential files?

One agreed user group, under an access policy you set. The assistant only works with the documents in the agreed collection; unrestricted access to confidential files is not part of the setup. If different people may see different documents, permissions per document are scoped separately. Our compliance page explains the data processing agreement and the sub-processor list you receive before signing.
