Draft replyRe: Starting a project

Hi Marie, thanks for your message. A project starts with a short intake call. After that you receive a proposal with a schedule.

Waiting for your colleague
STARTING SCOPE
One mailbox, agreed categories and draft replies. A person sends them.
IMPLEMENTATION
Fixed quote after intake
01 · THE WORK

One task, clearly defined.

The same kinds of messages arrive every day, but someone still has to read, sort and answer them. We configure an assistant around one mailbox and your team's reply rules, with a person checking each draft before sending.

Illustrative example · the exact flow is agreed at intake
01 · In

Message arrives

A customer emails asking for the steps to start a project.

02 · AI

Category and draft prepared

03 · Out

Your team checks and sends

The message is labelled as a new enquiry. A draft explains the approved intake steps; your colleague checks and sends it.

Human check

A colleague checks every draft before it is sent.

02 · SCOPE

Agree the boundaries before building.

Included in the agreed setup

  • Sorting using categories agreed with your team
  • Draft replies using approved information and examples
  • Uncertain or sensitive messages routed for manual review
  • Testing on representative messages before use

Outside the starting scope

  • Unsupervised sending or promises about price and delivery
  • Multiple mailboxes, CRM changes or attachment extraction unless separately scoped
Discuss a more complex build
BEFORE WE START

What we need from you

  • Access to one supported mailbox and permission from its owner
  • Example messages, reply templates and escalation rules
  • A person responsible for reviewing drafts
03 · DELIVERY & COSTS

Know what you buy. Know what follows.

A short intake checks your tools, data and scope. If the process is clear, we quote directly. Uncertain processes or complex access rules may need a paid analysis first, agreed with you.

01 · SETUP

Fixed quote after intake

Configuration, agreed connections, test cases and handoff. The quote names the deliverables, timeline, review rounds and acceptance criteria.

02 · USAGE

Software and consumption

Hosting, licences and AI usage are itemised. We agree what is included, the volume limits and the cost of going beyond them before you sign.

03 · CONTINUITY

Support with clear limits

Handoff, follow-up and ongoing maintenance are scoped per solution. Your quote names included checks and changes, support time, response windows and the start of billing.

Accounts and the delivered work are handed over as agreed. Any third-party platform licences and portability limits are named in the proposal.

04 · QUESTIONS

Before you decide.

Does the email assistant send replies on its own?

No. The assistant sorts incoming messages and prepares draft replies; a colleague checks every draft and sends it. Unsupervised sending is outside the scope, and so are promises about price or delivery: those stay with your team. Drafts use the approved information, reply templates and examples you provide, so your colleague edits instead of writing from scratch. Before use, we test the setup on representative messages from your own mailbox.

What happens with sensitive or unclear messages?

They go to a person. We agree the categories with your team, together with the rules for what counts as uncertain or sensitive, such as complaints. Those messages are routed for manual review instead of receiving a draft. The assistant works within one mailbox and the reply rules you set. Reading attachments, updating a CRM or covering several mailboxes needs a separate scope, agreed before building.

Which mailbox does it work with, and what do you need from us?

We start with one supported mailbox, with permission from its owner; whether your mail platform is supported is confirmed at intake. We also need example messages, your reply templates and the rules for passing messages on, plus one person responsible for reviewing drafts. With that, you receive a fixed quote after intake. Software and AI usage are listed separately, with volume limits agreed before you sign. A workshop or audit is not required first.
